How Go Nimbly became an AI-first agency.

Go Nimbly spent a decade trying to become a tech-enabled agency. In three months in tandem with MasteringAI, they did it.

By Mark Fershteyn

15 min to staff a project

It used to eat four hours of Drake’s day. Sometimes five.

6 tools, one screen

Salesforce, Mavenlink, ClickUp, Notion, Slack and Gong, finally in sync.

3 weeks to go live

A decade of trying. Live three weeks after the first call.

30+ people opted in

Within 30 days. Nobody made them.

Together we turned institutional knowledge, siloed tools, and manual spreadsheets into a custom AI operating system. It unified six core platforms into a single screen, cut staffing time from four hours to fifteen minutes, and eliminated the operational bottleneck capping the agency’s growth.

The ambition

Moving from “Using AI” to Becoming AI-First.

Go Nimbly is a 100 person go-to-market and revops consultancy. For ten years, leadership shared a single mission: run as a tech-enabled agency so billable hours go towards client outcomes, not internal administration.

Yet like most services firms, they hit a software ceiling. The problem wasn’t a lack of tools – they had plenty. The problem was the manual labor required between the tools.

Senior operators spent days copying data, cross-referencing schedules, and keeping status sheets up to date. The business ran on the invisible glue of tribal knowledge: who to ask, what to verify, and where to look.

For the last ten years, we’ve been committed to becoming a tech-enabled agency. In the last six months, we’ve made more progress toward that than we did in the first ten.

MasteringAI didn’t ask: “Where can we add a chatbot?”

We asked: “What high-value operational decision is currently trapped in your best people’s heads?”

The answer was immediate: Project Staffing.

The challenge

The practice could only grow as fast as one person could keep up.

Go Nimbly’s Gong practice is an industry benchmark – Gong’s own sales reps send clients there first. At any given moment, the team balances more than 200 active engagements.

Matching the right consultant to each project sounds straightforward on paper. In reality, every assignment requires balancing six complex variables:

  1. Who has capacity?
  2. Who has the right skills?
  3. Who has time off coming up?
  4. Who has worked with this customer before?
  5. Who is the best fit for this particular type of engagement?
  6. What commitments were already made?

The answers existed. But they were scattered across Salesforce, ClickUp, Mavenlink, Notion, Slack, and Gong. And the most important ones lived in the head of a very good manager, Drake Senter.

Drake couldn’t take real time off.

He was a senior operator spending most of his week on admin. The practice had grown so fast that nobody paused to fix it – and leadership didn’t want to hire another coordinator. They wanted those savings to go to their customers.

The practice had hit a human limit.

Hiring another admin is just hiding the issue. Most of this work doesn’t require human judgement. We need to automate.

What we built

A Unified Operating Layer Over Go Nimbly’s Existing Stack

MasteringAI engineered a custom AI operating system designed to sit directly on top of Go Nimbly’s existing tech stack. We didn’t rip and replace their software; we built the connective tissue between them.

How it works in production

  1. Zero-Touch Ingestion: When an opportunity closes in Salesforce, the project auto-populates in the staffing interface. No inbox digging, no manual Notion entries.
  2. Deterministic Matching Engine: The system evaluates available consultants across nine weighted criteria, balancing mathematically sound capacity tracking with domain fit.
  3. AI Rationale Generation: The model generates a concise, human-readable justification explaining why a particular consultant is the strongest match for that specific client.
  4. Human-in-the-Loop Approval: The manager reviews ranked candidates with all context visible on one screen and makes the final decision.
  5. One-Click Orchestration: Upon approval, the system executes the setup across every downstream tool automatically:
    • Allocates hours in Mavenlink
    • Generates the project and milestones in ClickUp
    • Sets up private and client Slack channels
    • Prepares client introduction emails in Gong Engage
    • Writes the project team assignments back into Salesforce

Instead of spending hours gathering information and reasoning from scratch, Drake reviews a ranked recommendation and makes the call.

AI doesn’t replace the decision-maker. It hands the decision-maker a much better starting point, and it gives the whole organization access to a process that used to exist in one person’s head.

Enterprise-Grade Under the Hood

This was not an off-the-shelf automation or an unstable no-code patch:

Production-ready in 3 weeks

Scoped, architected, and shipped by a dedicated engineering team.

Role-Based Permissions

Granular security ensuring consultants, managers, and executives see only what their roles permit.

Bi-directional Sync

Changes made directly inside Salesforce or Mavenlink reflect instantly within the operating OS, and vice versa.

Complete Code Ownership

Go Nimbly owns the intellectual property, code, and data pipelines outright.

Staffing a project used to take three to four hours, sometimes five. Now it takes less than twenty minutes.

The results

Four hours to fifteen minutes, plus increased capacity and visibility across the entire organization

93%

reduction in staffing cycle time

The impact for Go Nimbly was immediate:

From 4 Hours to 15 Minutes

A 93% reduction in staffing cycle time, reclaiming hundreds of billable and strategic hours per year.

Zero Double-Entry

The shadow Notion database was sunset. Information lives where it belongs and syncs everywhere automatically.

Institutional Knowledge, Codified

The nine criteria Drake balanced in his head are now structured software logic. The process produces consistent, high-grade assignments regardless of who is sitting in the operator seat.

Smarter Resource Planning

Instead of running retrospective utilization reports weeks late, leadership monitors capacity, roll-offs, and over-allocations in real time.

The countless factors Drake used to weigh in his head – who is free, who fits this customer, who has worked with them before – are handled proactively. They carry the same weights every time, so the same inputs produce the same ranking, and the process runs the same way whoever is running it.

Instead of reconstructing capacity and utilization across six systems after the fact, the practice can see who is overloaded, who is underused, and who is about to run out of hours, while there is still time to move someone.

It changes hiring decisions, too.

Go Nimbly had been considering hiring another coordinator to keep up with the operational load. They bought software instead, and passed the savings to their customers.

Before, the practice could only scale as fast as one person could keep up. That ceiling is gone.

The evolution

A Single Workflow Became the Operating System for the Entire Practice

True AI transformation doesn’t happen when you buy a dozen point solutions. It happens when your core operational logic becomes composable software.

What began as an internal staffing tool for one manager quickly became the operating backbone for Go Nimbly’s broader practice:

  1. Day 1

Drake staffs the Gong practice from one dashboard.

  2. Day 30

30+ team members adopt the tool organically because it eliminates their administrative backlog.

  3. Month 3 and Beyond

The same architectural foundation was extended to power automated quoting, proposal generation, and account planning.

This isn’t just a staffing tool anymore. This going to be our operating system for the entire practice.

Drake Senter

Because Go Nimbly owns the codebase, iteration happens in real time. When an account lead asked to view signed customer agreements directly inside the workspace without switching tabs to Salesforce, that capability was built and shipped the same afternoon.

When Drake opened it to the rest of the team, adoption didn’t need a mandate. People used it because it saved them the afternoon.

New use cases bolted on from there. Quoting came next, then proposals, then account plans, and then staffing itself went company-wide. Nearly half the company now works in it.

The initial workflow saved hours. The system that came out of it changed how the company operates.

What this means for your firm

If You Sell Knowledge and Bill for Time

Every services firm is facing the same structural squeeze:

  1. Clients are scrutinizing billables and asking why manual work isn’t automated.
  2. Margins are eaten by invisible operations: quoting, resourcing, status tracking, and handoffs.
  3. Scalability is bottlenecked by key-person risk: a handful of senior leaders hold the operational playbooks in their heads.

The bottleneck isn’t your software. It’s the connective work between your systems that eats your best people’s time.

That is the work MasteringAI turns into software.

We don’t pitch generic productivity suites or surface-level chatbots. We identify the high-friction, high-cost operational workflows inside your business, encode your team’s expertise, and build a unified software layer that unlocks scale.

When the build is finished, you own the code.

Go Nimbly started with staffing. Three weeks later, they had a production system. Staffing became quoting. Quoting became proposals. Proposals became account planning.

What’s the process eating your team’s week?

FAQ

Go Nimbly’s initial staffing OS moved from kickoff to live production in roughly three weeks. Because the architecture is modular, features and additional workflows are layered on continuously without disruption.

No. We treat your existing tools of record as foundational infrastructure. Our software sits on top of them, eliminating duplicate data entry, harmonizing logic, and orchestrating actions across them through APIs.

We don’t use AI where predictable logic belongs. Capacity tracking, availability rules, and scoring thresholds are deterministic—the math produces predictable, reliable results every time. Generative AI is deployed where context matters: synthesizing project requirements against consultant bios, producing qualitative match justifications, and automating structured client communications.

You do. We build real, production software using modern frameworks. You own the IP, the codebase, and the underlying data pipelines from day one.

Yes. The pattern repeats anywhere a job runs through several systems and one person holds the gaps together. Book a free consultation and describe the job. You will get a written scope and a fixed price.
